Pictures in PowerPoint (Windows)

Using pictures can greatly enhance your presentation, but it can also result in huge PowerPoint (ppt) files that are difficult to store and share. Following a few simple steps, you will be able to keep the size of your ppt files down.

Always keep the original picture files, do not rely on being able to recover pictures from a ppt file because this will not be possible without a quality loss when the ppt file has been optimized.

Bring a picture in

  1. Click Insert > Picture > From File...
  2. Insert > Picture > From File...

  3. Navigate to the picture you wish to insert
    • To help you identify the right image, you can switch to thumbnail or preview display

    • Alternatively, you can insert multiple images in a single insert command by selecting multiple files using the CTRL or Shift key
  4. Click Insert.

Resize the picture

If the inserted picture covers the whole slide:

  1. Zoom out, so that you can see the picture borders.
  2. Zoom out

  3. Select the picture (by clicking on it).
  4. Resize the picture roughly (by dragging its corners), so that it fits on the slide.
  5. Zoom to fit.

Resize and place the image precisely.

Repeat the above steps for all pictures you wish to insert.

Compress pictures

Only do this step once you are done resizing all the pictures currently inserted.

  1. Select a picture
  2. Click Compress Pictures in the Picture toolbar.
  3. Compress Pictures

    • Under Apply to, choose All pictures in document.
    • Under Change resolution, choose Print.

    (This level of picture optimization will considerably reduce the size of your ppt files maintaining sufficient quality for printing.)

  4. Click OK.
  5. Save the file.

You are done!
