Parent's Guide 2007-2008

The following contains important information about student account billing, the financial aid process and payment options that are available to you. After you have read it, please don't hesitate to call the Office of Student Accounts at (518) 388-8782 if you have any questions.

What We Will Send You and When


We will mail term bills three to four weeks in advance of the payment due dates.


For 2007 - 2008, the payment due dates are:

Fall 2007 August 10, 2007
Winter 2008 December 7, 2007
Spring 2008 March 9, 2008

When you receive your student account bill, please deduct any financial aid not yet credited for the current or prior term as shown on your financial aid award letter and remit the balance.

We will also mail a second bill two to three weeks after the start of each term. This latter statement includes any billing changes for the term and any additional charges. It should also include approved financial aid for the term that was pending as of the first billing.

  • (A) The "Comprehensive Fee" includes tuition, room, board and fees for all full time students.

    Students not living in College owned housing are entitled to a rebate of $1,412 per term.

    All Resident Students are required to participate in the College Meal Plan. Freshman are required to be on the 19 meal plan.

    Students living off campus may opt for only $200 of declining balance per term and receive a rebate of $993.

    Meal Plan Options:

    • 19 Meals Per Week plus $125 Declining Balance
    • 15 Meals Per Week plus $200 Declining Balance
    • 10 Meals Per Week plus $265 Declining Balance
    • 7 Meals Per Week plus $300 Declining Balance
    • 5 Meals Per Week plus $325 Declining Balance

    Declining Balance can be used in the College convenience store or any of the six dining service facilities. Purchases are deducted from their balance at the time of purchase. Students may add funds throughout the year by charging the student account bill or paying dining services directly.

  • (B) All full-time undergraduate students must be covered by health insurance. Students covered by another plan must complete an online waiver form to avoid compulsory enrollment in the College plan. The waiver must be completed annually by August 10 to avoid the health insurance charge to the student account. Waivers received after August 10 will receive a pro-rated credit.

  • (C) The program fee includes tuition, room, board, and group excursions, but excludes transportation. A $200 deposit is required in the preceding term to reserve a place in the group.

    Please Note: To avoid problems with student registration and a late payment fee, the trimester bill is due and payable as specified on the tuition statement. Whenever necessary, the College will cooperate with parents in arranging for any loan plan.

    Regretfully, should a student return to campus with an outstanding balance and without payment arrangements, the student may be asked to sign a promissory note in order to have a registration hold removed from their account.

    A late payment fee of $50 will be assessed to all students with balances not paid or not covered by approved financial aid after the due date. In addition, students with unpaid student account balances will be unable to receive diploma or transcripts or pre-schedule for future terms. Failure to satisfy financial obligations may result in a student being dropped from the College.

    Delinquent accounts are referred to credit bureaus and a collection agency. If any overdue obligation is referred to an outside agency or to an attorney for collection efforts and/or legal suit, the debt is increased to cover all reasonable costs of collection, including interest, penalties, collection agency fees, court costs and attorney fees.

    If the student does not plan to return for the next term, he / she must notify the Dean of Students Office in writing by the last day of the current term. Neither failure to pre-schedule or register, non-payment of the term bill, nor a request for a transcript constitute official notice of withdrawal or leave of absence.

Withdrawal Policy

Students who withdraw after the term begins or otherwise fail to complete an enrollment period will be refunded for the comprehensive fee on a prorated basis according to the schedule below. Declining Balance will be refunded the lesser of the unspent balance or in accordance with the refund policy.

Bookstore Charges

Students may open a charge account at the Bookstore. Charges will be included on the student account bill. The Bookstore also accepts cash, checks and major credit cards.

Miscellaneous Charges

In addition, students may be charged for: Health Service fees for prescriptions or lab tests; Extra Course fees in accordance with Academic Policy; Dance Practicum,parking fines and Mini Terms Abroad. Students and families may deposit funds to a separate Declining Balance account for use at a variety of local businesses. Full Details of this program will be mailed during the summer.

Banking Services

For student banking needs there is an ATM machine located in the Reamer Campus Center which is owned and operated by Key Bank. There is also a Bank of America branch located across the street from campus. A representative from Bank of America will be at the Nott Memorial during Orientation and at Reamer Campus Center upon the opening of school for students who wish to open an account.

Direct Deposit

Students who have been awarded college work study as part of their Financial Aid package or who work on campus are eligible to have their bi-weekly earnings deposited directly into their bank account. A direct deposit enrollment form is available online www.union.edu/HR/forms/. Details are also available in the Payroll Office in McKean House.

Payment Options for Student Charges


Checks should be made payable to Union College. (Post dated checks are not accepted.) Cash payments should be made in person.

Online Payment Options:

Using a secure online payment website, you can use your debit or credit card to make a Student Account payment. Electronic funds transfer (EFT) is also an option from this secure website. The website contains detailed instructions and can be found at this website.

You may use MasterCard, American Express or Discover credit cards or any debit card that has a MasterCard logo. This payment option is offered through a third party vendor, therefore there is a service fee of 2.5% that will be added to the transaction.

You may also authorize an electronic debit to your checking or savings account (U.S. accounts only) using this website. With EFT, there is no service fee charged by the processor and you can control the date that your account is charged.

Please contact Student Accounts, if you wish to make international electronic funds transfer.

Monthly Payment Plan Options

Union College offers monthly payment plans through AMS or Key Education Resources.

Payment plans allow for payment of all fees in up to ten (10) monthly installments as opposed to a lump sum each term. The payment plan is convenient, the application process is simple and the plan is interest free. There is an application /enrollment fee.

Both Monthly Plan Servicers offer a variety of payment options including : Check, ACH withdrawal and Credit Cards. Please note that a convenience fee will be added if you elect the credit card option.

Private Loan Options


There are a number of private loans available to assist families with meeting their contribution for education. Applications are available at the Financial Aid Office or you may contact the financial Institution of your choice.

These loans are available to all families, regardless of financial need. The borrowers should be credit worthy and are subject to a credit test prior to loan approval.

You may borrow up to the cost of attendance, less all financial aid resources. Application fees, interest rates and payment options vary for each program.

Education Tax Credits

1098T Tax forms will be mailed to all students in January each year. The tax form will report eligible education expenses for three (3) terms; including the Spring of 2007, Fall 2007and Winter 2008 for Tax Year 2007. Eligible expenses include tuition and activity fees only. The 1098T will also report Scholarship and Grants for these terms.

Financial Aid


Financial aid is credited to the student account after the necessary documentation has been verified and the student has accepted the aid package.

Perkins, Stafford and PLUS loans, along with PELL, SEOG, ACG and SMART Grants cannot be credited more than 10 days before the start of the term.

New York State Tuition Assistance (TAP) will be applied to the student's account via direct notification from the N.Y.S. Higher Education Service Corporation to the Financial Aid Office.

Federal Stafford Loans will be credited upon actual receipt of the funds from the lender via electronic funds transfer (EFT) or check. All first time borrowers must complete an entrance interview before their account can be credited. Contact Financial Aid for the Entrance Interview website. Students receiving their Stafford funds via check will need to present themselves to the Cashier's Office each term to endorse their checks.

Perkins and College Loans cannot be credited until the Student Loan Office receives a signed promissory note.

PELL, SEOG, ACG and Smart Grants will be credited upon completion and verification of the necessary Documentation.

If you expect any of the awards listed below, please deduct the amount of the award(s) for the term as indicated on your award notice and remit the balance due.

College Work Study is paid directly to the student as earned and therefore should not be deducted from the Student Account balance.

Private Scholarships and Grants are received by the College or by the student. Scholarships received directly by the students should not be deducted from the Student Account balance.
