The following contains important information about student account billing, the financial aid process and payment options that are available to you. After you have read it, please don't hesitate to call the Office of Student Accounts at (518)    388-8782 if you have any questions.

What We Will Send You and When


We will mail student account statements four times per year. Each term we will bill approximately three to four weeks in advance of the payment due dates. A statement will also be mailed in late May with payment due prior to graduation.

The student account statement will display pending financial aid below actual charges and credits. Please remit the balance due at the bottom.

  • (A) The "Comprehensive Fee" includes tuition, room, board and fees for all full time students.

    Students not living in College owned housing are entitled to a rebate of $1,482 per term.

    All Resident Students are required to participate in the College Meal Plan. Freshman are required to be on the 19 meal plan.

    Students living off campus may opt for only $200 of declining balance per term and receive a rebate of $1,051

    Declining Balance can be used in the College convenience store or any of the six dining service facilities. Purchases are deducted from their balance at the time of purchase. Students may add funds throughout the year by charging the student account bill or paying dining services directly.

  • (B) All full-time undergraduate students must be covered by health insurance. We will automatically bill all enrolled students on the Fall statement in July.  Students covered by another plan must complete an online waiver prior to removal of the charge. The waiver must be completed annually by August 8. The College reserves the right to not accept any health insurance waiver that is incomplete or if the students' health insurance fails to meet the minimum  requirements. Please have your health insurance ID available if you are planning to waive the insurance.

  • (C) The term abroad fee includes the comprehensive fee plus a $600 international program fee which includes tuition, room, board, and group excursions, but excludes transportation. A $200 deposit is required in the preceding term to reserve a place in the group. Exchange programs are charged the comprehensive fee only.

  • Please Note: To avoid problems with student registration and a late payment fee, the trimester bill is due and payable as specified on the tuition statement. Whenever necessary, the College will cooperate with parents in arranging for any loan plan.

    Regretfully, should a student return to campus with an outstanding balance and without payment arrangements, the student may be asked to sign a promissory note in order to have a registration hold removed from their account.

    A late payment fee of $50 will be assessed to all students with balances not paid or not covered by approved financial aid after the due date. In addition, students with unpaid student account balances will be unable to receive diploma or transcripts or pre-schedule for future terms. Failure to satisfy financial obligations may result in a student being dropped from the College.

    Delinquent accounts are referred to credit bureaus and a collection agency. If any overdue obligation is referred to an outside agency or to an attorney for collection efforts and/or legal suit, the debt is increased to cover all reasonable costs of collection, including interest, penalties, collection agency fees, court costs and attorney fees.

    If the student does not plan to return for the next term, he / she must notify the Dean of Students Office in writing by the last day of the current term. Neither failure to pre-schedule or register, non-payment of the term bill, nor a request for a transcript constitute official notice of withdrawal or leave of absence.

Withdrawal Policy

Students who withdraw after the term begins or otherwise fail to complete an enrollment period will be refunded the comprehensive fee on a prorated basis according to the schedule below. Declining Balance will be refunded the lesser of the unspent balance or in accordance with the refund policy.

Bookstore Charges

Students may open a charge account at the Bookstore. Charges will be included on the student account bill. The Bookstore also accepts cash, checks and major credit cards.

Miscellaneous Charges

In addition, students may be charged for: Health Service fees for prescriptions or lab tests; Extra Course fees in accordance with Academic Policy; Dance Practicum, parking fines and Mini Terms Abroad.

Dutchmen Dollars 

Students and families may deposit funds to a separate Declining Balance account for use at a variety of local businesses. For more information about this program, including a list of participating businesses go to www.DutchmenDollars.com. You can also open an account or add funds to an existing account through this web site.

Banking Services

For student banking needs there is an ATM machine located in the Reamer Campus Center which is owned and operated by Key Bank. There is also a Bank of America branch located across the street from campus. A representative from Bank of America will be at the Nott Memorial during Orientation and at Reamer Campus Center upon the opening of school for students who wish to open an account.

Direct Deposit

Students who have been awarded college work study as part of their Financial Aid package or who work on campus are eligible to have their bi-weekly earnings deposited directly into their bank account. A direct deposit enrollment form is available online at http://www.union.edu/HR. Details are also available in the Payroll Office in McKean House.

Payment Options for Student Charges


Checks should be made payable to Union College. (Post dated checks are not accepted.) Cash payments should be made in person.

Online Payment Options:

Using a secure online payment website, you can use your debit or credit card to make a Student Account payment. Electronic funds transfer (EFT) is also an option from this secure website. The website contains detailed instructions and can be found at this website.

You may use MasterCard, American Express or Discover credit cards or any debit card that has a MasterCard logo. This payment option is offered through a third party vendor, therefore there is a service fee of 2.65% that will be added to the transaction.

You may also authorize an electronic debit to your checking or savings account (U.S. accounts only) using this website. With EFT, there is no service fee charged by the processor and you can control the date that your account is charged.

Please contact Student Accounts, if you wish to make international electronic funds transfer.

Monthly Payment Plan Options

Union College offers monthly payment plans through AMS or TMS.

Payment plans allow for payment of all fees in up to ten (10) monthly installments as opposed to a lump sum each term. The payment plan is convenient, the application process is simple and the plan is interest free. There is an application /enrollment fee.

Both Monthly Plan Servicers offer a variety of payment options including : Check, ACH withdrawal and Credit Cards. Please note that a convenience fee will be added if you elect the credit card option.

If you wish to enroll in the AMS Monthly Payment Plan, you have the option of completing this application online at www.TuitionPayEnroll.com/union  or completing the application form that is mailed to you in May. For questions or additional assistance contact AMS at 1-800-635-0120.

If you wish to enroll in the Tuition Management Systems (TMS) Monthly Payment Plan, you have the option of completing the application online or completing the application form that is mailed to you in May.  For questions or additional assistance contact TMS  at 1-800-356-8329. 

The Office of Student Accounts is available to assist you with determining the plan amount and will also have application forms for both plans available.

Loan Options


Union has researched a variety of lenders and has compiled a list of those who provide the best rates, service and convenience for our students. Students are not required to use any of the lenders on our list and may contact the financial Institution of their choice. Additional information may be found at Financial Aid after June 15, 2008.

Education Tax Credits


1098T Tax forms will be mailed to all students in January each year. The 1098T will report eligible education expenses for three (3) terms; including the Spring of 2008, Fall 2008 and Winter 2009 for Tax Year 2008. Eligible expenses include tuition and activity fees only. The 1098T will also report Scholarship and Grants for these terms.

Financial Aid


Financial aid can only be applied to the student account after the necessary documentation has been verified and the student has accepted the aid package.

Federal Aid which includes Perkins, Stafford and PLUS loans, along with PELL, SEOG, ACG and SMART Grants cannot be credited more than 10 days before the start of the term.

New York State Tuition Assistance (TAP) will be applied to the student's account via direct notification from the N.Y.S. Higher Education Service Corporation to the Financial Aid Office.

Federal Stafford Loans will be credited upon actual receipt of the funds from the lender via electronic funds transfer (EFT) or check. All first time borrowers must complete both a Master prmissary Note and an entrance interview before their account can be credited. Contact complete your entrance interview requirement online at www.mappingyourfuture.org .

Perkins and College Loans cannot be credited until the Student Loan Office receives a signed promissory note.

College Work Study is paid directly to the student as earned.
