006/007 Editing Guide

006 and 007 fields may be entered either on OCLC or in III. These fields, however, must be entered in a different manner from other MARC fields. Instructions for each field are given below for each editing system.

When you are in a record, go through the Edit menu in OCLC Connexion. Drop down to the Field 006 entry (towards the bottom of the list). Slide over to Insert. Then slide over to the appropriate material type for the additional format in the resulting list -- Books, Computer Files, Maps, etc. (There also are keyboard shortcuts, but these are fairly complicated.) OCLC will respond with a template for the 006. For musical sound recordings only, the default code of 'i' will have to be changed to 'j'. Otherwise, OCLC's defaults are all accepted by the library, so simply click the 'OK' button on the pop-up box to accept them. The correct 006 will be added to the record. In general, we will only be coding for computer files, sound recordings, and visual materials. When several kinds of media are present we typically will use a record for the main item with appropriate 006s and 007s for the other media types. The 'mixed media' category is only for archival collections. On very rare occasions a published group of materials may be coded as a 'kit'; refer such materials to the Catalog Librarian for confirmation and specific coding. |

Type the appropriate type code for the material type per the table below (note that 006 is not used for microfilm or microfiche):
Save the record after entering this code. There is other information which it is possible to code by expanding the field (an option under the Edit menu or through [Ctrl][R]). The library does not use this data however, so it is sufficient to supply only the type code from the list above. |

The 007 may be added like any other field on OCLC, following the standards for Multiple Format Items. The usual data for which an 007 is added by Schaffer Library are listed below. If the item varies from the description provided, refer it to the Catalog Librarian and/or consult the OCLC Bibliographic Formats and Standards regarding coding for the 007.
