Books with Software - Physical Processing

Note - Labels for supplemental CD-ROMs and floppy disks will match the description in the bibliographic record: CD-ROMs have Disc and Floppies have Disk at the end of the call number. Labels for supplemental CD-ROMs and floppy disks do not have a "CDROM" or "Software" prestamps. They do carry the prestamp, if any, of the book to which they belong, e.g., a CDROM for a [q] book would have a [q] prestamp as well.

Follow standard procedures for physically processing books. Stacks books with accompanying material should get a pre-printed "Software held at Circ Desk" label on the inside back cover. Reference books with accompanying material should get a pre-printed "Software held at Ref Desk" label on the inside back cover. See Example A below.

  1. For CD-ROMs:

    1. Place clear Compact Disc Security Overlay Label on CD-ROM:

      • Center clear overlay on label side of CD-ROM and hold firmly in position.
      • Lift smaller portion of overlay and bend it back while removing the liner.
      • Roll the adhesive surface of overlay onto CD-ROM � carefully!
      • Remove liner from large portion of overlay and roll overlay onto CD-ROM.
      • Rub entire surface of overlay to bond it to CD-ROM.
    2. If CD-ROM lacks a standard jewel case:

      • Transfer CD-ROM to a "blank" jewel case.
      • Modify provided packaging or documentation, if available, to fit in the front and back of the "blank" jewel case.
      • If there is no packaging to insert, leave the jewel case blank.
    3. Add barcode on the front of the CD-ROM case, in the lower right-hand corner and link CD-ROM to its item record. Follow instructions on the Linking Action Slip.

      Remember:
      Accompanying material for books in the stacks get linked to Circ Desk (code 'umc');
      Accompanying material for books in Reference get linked to Ref Desk (code 'urd').

    4. Print call number labels for case and disc/disk (typically 1 each - 2 total), (control numbers are no longer added to the call number labels). See Example B below.

    5. Attach call number label to the front upper right-hand corner of case.

    6. Place the second call number label on left side of the disc face , between security strips. Do not write on the disc face. See Example C below.

    7. Arrange CD-ROMs with accompanying books in call number order, retaining any Linking Action Slips with their items.


  2. For Floppy Disks:

    1. The Electronic Media Library Specialist will make a copy of the diskette; label the original, the copy and a mailer with the call number; file the original; and return the copy with a mailer for linking per the Books with Software Cataloging Guide.

    2. If not added by the Electronic Media Library Specialist, add a barcode to the center of the front of the mailer (approximately in the "To" block) and link the diskette to its item record according to the instructions on the Linking Action Slip, making sure title matches.

    3. Labels should already be printed and affixed by the Electronic Media Library Specialist. See example D below for the appearance of the disk. See example E below for the appearance of the mailer.

    4. Arrange floppy disks with accompanying books in call number order, retaining Linking Action Slips.
