The candidate will be responsible for the New Hire/On-Boarding Coordination – S/he will track and coordinate the on- boarding of City staff and Consultant. S/he will work with Agency Dept. managers during moves, transfers and new hires to ensure that all the employees' needs are met including VoIP phone setup and programming. Candidate will assist in lease administration for rent and Alternate Data Center, tracking operational charges and maintaining infrastructure equipment maintenance and repair records. S/he will assist in CityTime "Asset" Transfer and Tracking as well as Record retention which will include, reconciling current records inventory, use new software package to barcode label all record boxes and supervise the destruction of old files that were approved for destruction. Other responsibilities will include COSH Administration - assisting in the coordination of Citywide Occupational Safety and Health initiatives reporting etc., The candidate will also be responsible for Fixed assets and s/he will coordinate and perform updates in FMS as required, will prepare weekly, monthly reports as needed: including management reports. Project updates Monthly Consumable Inventory reports etc. Assist the Deputy Director in tracking and maintaining Check Inventory and preparing Monthly reports along with working with the Deputy Director to prepare monthly reports and process PR's for stock replenishment. Serve as expeditor for purchase and support of Facility Operations Services. S/he will contact vendors in order to get price quotes and estimates on facility related goods and services, follow up on contract deliverables and schedule work as required and will act as a Department Liaison working with Account Payables and Purchasing Department to ensure that facility related paperwork between departments flow properly ensuring prompt receipt of deliverables and prompt payment alter receipt. Additional tasks and responsibilities for this person will consist of maintaining Blackberry and cell phones, maintaining agency Xerox machine records, Form administration including maintaining forms, record keeping, scanning and archiving logs and material research.
Minimum Qual Requirements
1. A master’s degree from an accredited college or university, accredited by regional, national, professional or specialized agencies recognized as accrediting bodies by the U.S. Secretary of Education and the Council for Higher Education Accreditation (CHEA) in economics, finance, accounting, business or public administration, human resources management, management science, operations research, organizational behavior, industrial psychology, statistics, personnel administration, labor relations, psychology, sociology, human resources development, political science, urban studies or a closely related field; or
2. A baccalaureate degree from an accredited college or university, accredited by regional, national, professional or specialized agencies recognized as accrediting bodies by the U.S. Secretary of Education and the Council for Higher Education Accreditation (CHEA) and two years of satisfactory full-time professional experience working in one or a combination of the following areas: working with the budget of a large public or private concern in budget administration, accounting, economic or financial administration, or fiscal or economic research; or in management or methods analysis, operations research, organizational research or program evaluation; or in personnel or public administration, recruitment, position classification, personnel relations, labor relations, employee benefits, staff development, employment program planning/administration, labor market research, economic planning, social services program planning/evaluation or fiscal management; or in a related area.
To be eligible for placement in Assignment Level II, individuals must have, after meeting the minimum requirements, one additional year of professional experience as described in "2" above.
