How do I get my timesheet to Payroll since I am not in the office?
Payroll has a PDF timesheet that is fillable electronically. Download the timesheet, complete it, and email to your manager/supervisor for approval. Your manager will email the approved timesheet to the Payroll Office at payroll@union.edu. If your department uses Kronos, your manager will collect the time for staff and submit to Payroll electronically.

What if I turned in my timesheet on Thursday 3/12 before I left, how do I know it was received by Payroll?
Mail Services will continue to receive and deliver mail in each department and will deliver the timesheets to the Payroll Office for processing. If you have any questions about the Payroll Office receiving your timesheet, email the Payroll Office at payroll@union.edu.

If I am a student who worked through Thursday 3/13, how will I receive my paycheck?
Payroll will obtain your timesheet from your manager/supervisor, if it is not yet received by the Payroll office, in order to process your paycheck for the 3/27 pay date. Payroll will mail your check to your home, unless you are a student staying on campus. If you are a student remaining on campus, please email the Payroll Office at payroll@union.edu that you will pick up your check in the mailroom. If you currently have direct deposit instructions on file with Payroll, your pay will be deposited into your bank account on 3/27. If there are any issues with receiving a check on 3/27, the Payroll Office will ensure that you are paid correctly by the first hourly payroll in April 2020.

How will I receive my paycheck if I am an employee or a student employee who was supposed to receive a check on Friday 3/13, but left campus before receiving?
If you did not collect your check at the mailroom in the Reamer Campus Center by Friday afternoon, the check was mailed to your home address, unless you are an international student. For those students, your check is at the mailroom ready for pick up. Please email the Payroll Office with any questions at payroll@union.edu.. We will work with individual international students who have already returned home.

How are managers/supervisors and employees coding time for the period that hourly staff are working remotely?
Managers/supervisors and employees will code time worked remotely as regular hours. The actual hours worked remotely should be tracked using regular hours worked. Any time during the shift that the employee is not working, but should be paid, use CTO Code #3100 “COVID-19 Pay” in order to track costs during the COVID-19 pandemic.

Managers will use CTO Code #3100 ”COVID-19 Pay” on timesheets/Kronos.

How do I view my pay stub (direct deposit statement) online?
To view your pay stub (direct deposit statements) online, please log into Employee Online - eo.union.edu. All employees should have access to this portal using your Union username and password. Please remember to type union\ in front of your username.
Direct deposit statements will not be mailed. If you have a question regarding your pay stub (direct deposit statement) or if you are unable to access Employee Online to view your pay stub, please email the Payroll Office at payroll@union.edu or call (518) 388-6105.

Can I receive my check through direct deposit instead of being mailed?
We encourage you to enroll in direct deposit. This can be done directly through Employee Online, which is effective immediately, or by completing the Direct Deposit form. Please email the completed form to payroll@union.edu 7 days prior to the pay date. Otherwise, all checks will be sent to the mailroom for postage and mailed to the employees address on file as regularly scheduled.
