The Administrative Analyst will report to the Director of Administration and assist in the management of fiscal, operational and administrative matters for the SUNY Charter Schools Institute.

SUNY's Charter Schools Institute has a fast-paced work environment committed to supporting the SUNY Trustees in ensuring SUNY authorized charter schools demonstrate strong academic, fiscal and organizational performance as measured by the SUNY Renewal Benchmarks.  The Administrative Analyst demonstrates the drive and desire to propel improved internal Institute operations, documentation, organizational operations and public reporting for all schools through high quality authorizing practices.  The position requires strong communication skills, the ability to assist a team to gather, organize, analyze and produce a high volume of information in a timely and accessible manner; infuse quality, coherence and organization throughout all assigned tasks; and embrace the opportunity to work with a national model for high quality charter school oversight.

Specific duties will include:  

  • Serve as main point of contact with all Institute staff, Research Foundation and SUNY offices for financial matters, staff travel reimbursements, recruitment and all other administrative and organizational operations functions  
  • Monitor current accounts and expenditures and analyze Institute financial information, make projections of expenses and assist in drafting future budgets
  • Assist internal staff members with grant application proposals and reporting as it relates to budgeting and fiscal expenditures
  • Develop and revise new and existing Institute policies, procedures and forms
  • Submit payments, check requisitions, purchase requisitions, travel vouchers and procurement card reconciliations according to SUNY, Research Foundation and Institute policies and procedures
  • Develop vendor and consultant agreements by completing independent contractor forms and working relationship forms; draft scope of work documents and monitor progress throughout contract and payment process
  • Maintain electronic payment files by vendor and reimbursement files by staff member, working to ensure that payments are completed accurately and in a timely manner
  • Track and monitor expenditures and facilitate close out of accounts using SUNY and RF accounting systems and internal expense tracking systems
  • Assist in personnel matters including completion of personnel change forms; maintenance of employee personnel files; and deployment of on-boarding plans
  • Assist with search and recruitment activities including processing position recruitment requests, ensuring accuracy of materials, dissemination of position announcements and search related materials, and adherence to SUNY and Research Foundation policies
  • Assist with Document Production activities
  • Monitor and maintain filing system for Institute shared email inboxes and ensure adequate office coverage of phones, shared email and mail
  • Other duties as assigned to meet project deliverables           

  


Requirements:

Minimum Requirements:

  • Bachelor's degree with a concentration in finance, business administration, management, or a related field
  • At least 5 years' experience in financial management and analysis
  • Excellent interpersonal, oral and written communication skills
  • Ability to problem-solve and maintain a solution orientated approach to work
  • Proficiency in Microsoft applications specifically Excel, as well as finance and accounting software
  • Ability to work independently and manage multiple priorities
  • Excellent organizational skills and strong attention to detail
  • Ability to maintain a high degree of confidentiality

Preferred Qualifications:

  • Master's degree in public administration, finance or business administration or other related field
  • Experience or willingness to learn recruitment processes and procedures
  • Familiarity with Research Foundation and SUNY policies and procedures
  • Familiarity with MS InDesign and document management systems

SALARY:              Low to mid $50's commensurate with experience.  Excellent benefits.
