Office Manager (Part-time)

Supports organization operations by maintaining office systems for a small non-profit ( 20 hours per week)

Office Manager Job Duties:
  • Maintains office services by organizing office operations and procedures; preparing payroll; maintaining filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.
  • Maintains financial data on all revenue and expenditures using Quickbooks, and works with the Treasurer to balance and report.
  • Oversees human resource issues such as health plan, 403B pension
  • Makes all payments and invoicing for organizational expenditures and records and prepares deposits
  • Keeps staff informed by reviewing and analyzing special reports; summarizing information; identifying trends.
  • Oversees data intake for organization applications for athlete participants and volunteers.
  • Runs criminal background checks on volunteers.
  • Achieves financial objectives by scheduling expenditures for any on-line payments; analyzing variances; initiating corrective actions.
  • Keep inventory of assets
  • Works with auditors to prepare annual audited financial reports, 1099 and NYCHAR500

Qualifications:

Office Manager Skills and Qualifications:
  • Workplace fiscal experience, preferably within a non-profit organization
  • Fluency in QuickBooks and Microsoft Office Suite required
  • Experience managing databases / data systems
  • Excellent interpersonal, organizational, phone and computer skills
  • Strong verbal and written communication skills
  • Comfort with public speaking to small groups
  • Experience with the concepts of equal rights for persons with disabilities preferred
  • Associates degree in accounting/finance, or equivalent experience preferred
