The Office of Undergraduate Admissions at the University at Albany is seeking a Visit Experience Coordinator responsible for overseeing all aspects of the campus visit experience and on-campus Admissions events. Reporting to the Director of Undergraduate Admissions, this position is part of the recruitment team and will be responsible for organizing and enhancing the campus visit experience, supervising a team of 40+ student tour guides who represent and promote the University to prospective students and their families.  The Visiting Experience Coordinator is responsible for training and developing a student leadership team, along with creating positive first and last impressions.  This position is also responsible for counseling prospective freshmen and transfer applicants and their families, in addition to reading applications.  Some regional recruitment travel may be required.  The individual is responsible for developing an effective visit calendar, and planning and executing Admissions events that lead to successful yield.

This position is also responsible for the creation of the Student Ambassador program.  Student Ambassadors are volunteers who assist with various recruitment efforts including visiting their high school to talk with students about the University and assisting with on-campus recruitment efforts as needed.  

Primary responsibilities include:

  • Overseeing on-campus recruitment events
  • Enhance and lead the student-led tour guide program
  • Coordinate on-campus Admissions events such as Open Houses and Scholars Days
  • Create and maintain event schedule
  • Plan and reserve campus facility space
  • Create staff assignments and relay those assignments to professional staff and tour guides
  • Coordinate with Enrollment Marketing on event-related communications and promotions
  • Employ the assistance of other campus offices and their staff
  • Collect and analyze data to assess effectiveness of events
  • Managing team of student tour guides
  • Identify, hire, train, mentor and schedule student tour guides
  • Monitor and supervise tour guides and University Hall Atrium to ensure proper and appropriate coverage, and hold the team accountable for following customer service best practices and maintaining professional conduct
  • Collaborate with other campus offices to improve tour information and update other professional staff when necessary

Additional responsibilities include taking part in a rotating schedule for information sessions.  Some travel may be required.


Minimum Qualifications:

  • Bachelor's degree from a college or university accredited by a U.S. Department of Education or internationally recognized accrediting organization
  • Experience working in a diverse environment and/or with diverse clientele
  • One year of demonstrated leadership or professional experience working with high school or college students
  • One year of customer service experience
  • Demonstrated presentation skills and strong public speaking ability
  • Ability to communicate ideas clearly and effectively
  • Ability to multi-task in a highly dynamic admissions environment
  • Must be creative, self-motivated and have the ability to work independently
  • Strong leadership, administrative, and time management skills
  • Budgetary management skills in regards to event planning and scheduling
  • Valid NYS driver's license
  • Ability to work some nights and weekends

Preferred Qualifications:

  • Experience with undergraduate recruitment, admissions, and/or visit programs
  • Experience planning and implementing large-scale programs
