Summary:

The Administrative Assistant provides general secretarial and office management services to Union’s Economics Department. Responsibilities include: overseeing and reconciling budgets and providing assistance to individual faculty in managing their research accounts, answering, screening, and directing phone calls, greeting visitors, creating and maintaining an organized filing system, maintaining an effective Economics Department web page, managing logistics for all department events, collecting and maintaining confidential material for reappointment reviews and tenure reports and for faculty annual and tri-annual reviews, providing full support in the faculty hiring process, and providing support in collecting program data and compiling course folders for accreditation and external reviews. The Administrative Assistant will also maintain all the necessary supplies and equipment, manage the building mail distribution and copier, and assist other departments in the building as needed.

Qualifications:

High school diploma and three to five years of secretarial experience, preferably in an educational environment (Associate’s or Bachelor’s degree preferred), extensive computer skills including knowledge of Microsoft Office, Equation Editor, Google Apps (i.e. Gmail, Google Calendar and Google Docs), as well as web site maintenance software and PageMaker or similar software for creating newsletters, is required. The selected candidate will demonstrate an ability to display appropriate courtesy, tact, discretion and patience, possess the maturity and interpersonal skills to understand and manage situations involving students, parents, faculty, staff, alumni, and outside visitors, and possess the ability to work with various personality types and people of diverse backgrounds. Candidates must be able to work independently under general supervision in a flexible work environment, have excellent verbal and written communication skills, and be safety conscious.
