Fellowship Considerations

This guide was designed to share common practices and considerations associated with applying for an external fellowship. It is intended to be read in conjunction with the Faculty Manual and A Reader's Guide to Leaves and Course Buy-Outs for Faculty Members (Reader's Guide). These common practices and considerations do not supersede the policies found in the Faculty Manual or Reader's Guide.

As with any source of external support, please notify the Grants Office of your intent to apply for a fellowship as soon as possible. In additional to the considerations highlighted below, which may not be applicable to all applicants, you will need to complete a Grant Proposal Approval Form for Fellowships (GPAF-F) and Course Coverage Plan (CCP) before submission.

Off-Schedule Leaves

If your proposed fellowship period does not coincide/align with a sabbatical leave, you will be required to request approval from the Dean of Faculty (DOF), per Section II.VII.C of the Faculty Manual. To prepare your request, you should complete the "Description of Leave" section of the Course Coverage Plan (CCP) and reach out to your department chair to discuss these plans. Your department chair will then need to complete the "Coverage Plan" section of the form. Once you've confirmed these plans with your chair and have both signed the CCP, send the CCP to the Dean of Academic Departments and Programs (DADP). Once the DADP has approved, you should contact the DOF to request review and approval of your off-schedule leave request. In preparing your email to the DOF, you should attached the completed CCP and include the following information in your message:

  • Name of and link to the fellowship program
  • Application deadline date
  • Details related to the proposed leave, including but not limited to: the proposed leave period; impact on teaching, including whether you will teach an overload in the preceding or succeeding academic year; and the impact of your department to cover you leave during the proposed leave period.

Salary Supplement Requests

If your proposed fellowship will require a salary supplement to enable you to maintain your full or partial salary during the proposed leave period, you should submit a salary supplement request to the Dean of Faculty (DOF) for approval, per Section II.VII.C.1 of the Faculty Manual. In preparing your email to the DOF, you should include the following information in your message:

  • Name of and link to the fellowship program
  • Application deadline date
  • A brief summary of your proposed leave
  • Request for a salary supplement, including:
    • Estimated award amount
    • Estimated salary supplement request
    • Clear indication if your salary supplement request exceeds the typical 1/6 amount and a justification for surpassing this amount

Continuation of Benefits

Per Section II.VII.C.2 of the Faculty Manual, you may apply to the Dean of the Faculty for continuation of all or specific College benefits during your proposed leave. Please see the Faculty Manual and A Reader's Guide to Leaves and Course Buy-Outs for Faculty Members for more information.
