Changing Your Personal Information

Changing your preferred name, also known as chosen name, means that you'd like to be referred to by a name other than your legal name:

• Students: Submit the Personal Information Change Request Form.

• Faculty/Staff: Submit your changes in your Workday profile.

If you prefer to use your legal name in daily life, then adding a preferred name is not necessary.

Applications that will automatically update

The following applications will reflect your preferred name automatically.

Note: The College has over 100 satellite systems which are still being reviewed. If you see that your name has not been updated in a system, please inform the ITS Help Desk. Thank you for your patience.

• Student Financial Documents
• Financial Aid and Scholarship Documents
• Academic Transcripts
• Student Conduct and Disciplinary Records
• Enrollment Verifications
• Student Employment Documents

• Employment Documents
• Paychecks, W2s, and other Payroll documents
• Benefits Enrollment

The following systems/communications will present both legal first and last name as well as preferred name where applicable:

• Campus Safety
• Colleague
• Dean of Students Office/Conduct
• Eppler-Wolff Counseling Center
• Registrar's Office
• Wicker Wellness Center

If you wish to obtain a new Union College ID Card with your Preferred Name:

Visit the Campus Safety Office (College Park Hall) to request a College ID with your preferred name. (New students: check with Campus Safety to ensure your preferred name matches what you want to appear on the UC card.) Your College ID is not a legal form of identification. Carry your driver’s license or other legal identification when you leave campus or need to provide legal identification.

You can change/update your pronoun as follows:

• Students: Go to your Profile in Self Service and update your pronoun there.

• Faculty/Staff: Submit your changes in your Workday profile.
